1. Introduction
AiTransClips is a service that helps you transcribe, translate, caption, and export video and audio. This Privacy Policy explains what personal data TechLuminary ("we", "us", or "our") collects, how we use and share it, and the choices and rights you have.
This policy applies to the AiTransClips website and web application, and to related services we provide (together, the "Service"). It does not apply to third-party websites or services you may reach through the Service, which have their own privacy practices.
2. Who we are
The Service is operated by TechLuminary, with a registered address at TechLuminary, Số 44, Khóm 7, Phường 1, Thành phố Bạc Liêu, Tỉnh Bạc Liêu, Việt Nam. If you have questions about this policy or your data, contact us at support@techluminary.com.vn.
3. Information we collect
We collect the following categories of information:
- Account information: your name, email address, password (stored only as a secure hash), profile details, and email-confirmation status.
- Sign-in data: if you sign in with Google, we receive an account identifier and basic profile information from Google. We do not receive your Google password.
- Content you submit: videos, audio, links, and other media you upload or point us to, along with transcripts, captions, translations, generated clips, voice tracks, and related metadata.
- Connected services: when you connect Google Drive, we store authorization tokens (encrypted at rest) and your sync preferences.
- Billing information: your plan, subscription status, invoices, and transaction references. Full payment card or wallet credentials are handled by our payment providers and are not stored by us.
- Usage and technical data: minutes of video processed, feature usage and quotas, device and browser information, IP address, approximate location derived from IP, and diagnostic logs.
- Communications: information you provide when you contact us, request support, or respond to surveys.
- Cookies and similar technologies: as described in Section 13.
4. How we use information
We use personal data to:
- Provide, operate, and maintain the Service, including processing your media and generating translations, captions, clips, and audio.
- Create and manage your account, authenticate you, and keep the Service secure.
- Detect, prevent, and address fraud, abuse, security incidents, and technical issues.
- Process payments, manage subscriptions, and issue invoices and receipts.
- Respond to your requests and provide customer support.
- Send service and transactional messages, and — where permitted or with your consent — product updates and marketing you can opt out of at any time.
- Understand how the Service is used so we can improve features, performance, and reliability.
- Comply with legal obligations and enforce our Terms of Use.
5. Legal bases for processing
Where the EU or UK General Data Protection Regulation applies, we process personal data on the following legal bases: performance of a contract (providing the Service you requested); legitimate interests (securing and improving the Service, preventing abuse, and communicating with you), balanced against your rights; consent (for optional marketing and non-essential cookies, which you can withdraw at any time); and legal obligation (for tax, accounting, and lawful requests).
Where Vietnamese law applies, we process personal data in accordance with applicable personal data protection regulations, including on the basis of your consent, the performance of a contract, and our legal obligations.
8. International transfers
We and our service providers may process personal data in countries other than the one in which you live. Where we transfer personal data from the European Economic Area, the United Kingdom, or another jurisdiction with transfer restrictions, we take steps to protect it, such as relying on approved contractual safeguards (including standard contractual clauses) and evaluating the protections available in the destination country.
9. Data retention
We keep personal data for as long as needed to provide the Service and for the purposes described in this policy. When you delete content or close your account, we delete or de-identify the associated personal data within a reasonable period, except where we must retain it to comply with legal, tax, or accounting obligations, to resolve disputes, or to enforce our agreements.
Residual copies may remain in encrypted backups for a limited time before they are overwritten in the ordinary course. Diagnostic logs are generally retained for a shorter period.
10. Security
We use technical and organizational measures designed to protect personal data, including encryption in transit, encryption of connected-service tokens at rest, hashed passwords, access controls, and monitoring. No method of transmission or storage is completely secure, so we cannot guarantee absolute security. Please keep your account credentials confidential and contact us if you believe your account has been compromised.
11. Your rights and choices
Depending on where you live, you may have some or all of the following rights regarding your personal data:
- Access: request a copy of the personal data we hold about you.
- Correction: ask us to correct inaccurate or incomplete data.

- Portability: request a machine-readable copy of certain data you provided.
- Objection and restriction: object to or ask us to restrict certain processing, including direct marketing.
- Withdraw consent: withdraw consent at any time where processing is based on consent, without affecting processing already carried out.
- Non-discrimination: exercise your rights without receiving a different level of service.
To exercise these rights, contact us at support@techluminary.com.vn. We will respond within the timeframe required by applicable law and may need to verify your identity before acting on a request.

We may update this policy from time to time. When we make material changes, we will take reasonable steps to notify you, such as by posting a notice in the Service or emailing you, and we will update the effective date above. Your continued use of the Service after an update means you accept the revised policy.
